1.  My Insurance Passport Basics

Veda holds a historical record of insurance related information on individuals on behalf of Insurance Reference Services Limited (IRS). This information is primarily used by insurance companies and their third party agents to assist them in the validation of information provided to them during the course of an insurance policy – from quotation, risk assessment, policy commencement and claims.

Who has an insurance passport available via MyInsurancePassport.com.au?

You may have an insurance passport if you've applied for an insurance policy, or submitted a claim under an insurance policy with a member insurer of Insurance Reference Services Limited.

What's in my insurance passport?

Your insurance passport includes information about you that you have disclosed to insurance companies in the course of obtaining insurance or making insurance claims. It may include:

  • full name
  • date of birth and driver's licence
  • gender
  • residential address
  • details of applications made for insurance
  • details of enquiries made by agents of insurance companies such as loss assessors, insurance investigators and recovery agents
  • details of claims made under insurance policies held in your name or jointly in your name
  • details of claims where you were named as a driver of an insured vehicle

How are insurance passport records generated?

Insurance Passports may be created in a number of ways. These are:

  • as the result of an application for general insurance
  • as the result of a third party insurance agency undertaking actions on behalf of an insurer
  • as a result of a claim lodged under a general insurance policy

It's a good idea to obtain a copy of your insurance passport before shopping for insurance online or obtaining quotes from your insurance company, so that you are aware of the minimum claims information that you must disclose to insurers in order to purchase a valid policy.

Failure to disclose historical claims detail for all nominated drivers on your motor policy may invalidate your insurance and cost you thousands.

Should you find any errors on your insurance passport, you can request an amendment and get it rectified before it impacts any of your claims. Your insurance company has access to this data at the press of a button, so it’s better to check it than get a nasty surprise when you submit a claim.

2. Understanding My Insurance Passport

How to read your insurance passport

Your insurance passport can contain the following information:

  • personal details such as: name, residential address, date of birth, driver's licence number:
  • enquiries made by insurers that you have applied for cover during the past five years (the file records insurance company enquiries, not actual insurance policies taken out)
  • enquiries made by third party agents of insurers during the course of a claims process
  • details of claims submitted to IRS member insurers – whether or not they eventuated in a payment

3. Updating Information on My Insurance Passport

Depending on the entry requiring updating or amending, please refer to the information below. If you are required to advise Veda of the update or amendment required, it must be in writing. Please forward details to:

Personal Details

If your Personal Details are not accurate please advise us by completing the Update Details Form and forward along with any supporting documentation to Veda. If further verification of the supporting documentation is not required, we will amend the entry within 5 working days and forward you a copy of your amended insurance passport. If verification is required, please allow us 30 days to respond to you. Please note that your address history on your insurance passport is not a chronological list of addresses you have lived at. Addresses and your Employers name are added to your insurance passport by insurers in conjunction with an insurance enquiry or claim you have made with them. Veda does not add addresses or current employer information to insurance passports.

 

Insurance Claim or Insurance Enquiry

If an Insurance claim or Insurance enquiry on your insurance passport is inaccurate, please contact the insurance company listed and request them to contact Veda to amend their entry. Your insurance passport will be updated within five days of the insurance provider notifying us of the amendment required.

How long does it take for information on my insurance passport to be updated?

The amount of time taken to update information on your insurance passport can vary.

If an insurance provider is updating an entry they have placed on your insurance passport, the maximum delay will be five working days from the time they notify Veda of the required update. Depending on the method used by the insurance provider, the update may be completed much more quickly.

If you need Veda to update an entry for you, we will need you to notify us in writing. It is a good idea to also provide us with any documentation that may assist us.

Once we receive your written request, our Public Access team will verify the information you have provided to us and then update your insurance passport accordingly.

Legislation allows us 30 days in which to complete this process; however most times a response is issued much earlier.

How long is the information held on my insurance passport?
  • Insurance enquiries are held on your insurance passport for five years
  • Insurance claims are held on your insurance passport for ten years
  • Identity information, which includes name, date of birth, sex, driver's license, address history, and linked names (if any) are held for the life of the insurance passport. This information is used to distinguish the insurance passport from others held in the database
  • Purge dates are calculated on the date the information was added to the file, and are based on the time limits provided in the Privacy Act 1988
  • Files are scanned each month and out of date information is automatically purged to ensure the insurance passports are accurate.

4. Opening My Insurance Passport PDF Document

Why is my file password protected?

Your file contains important personal information that should not be accessed by anyone else without your permission. In order to help keep this information secure, Veda has password protected the file.

Why can't I open my file on my smartphone or mobile device?

The PDF attachment is designed for viewing through your computer. Some mobile devices are not compatible with password protected PDF files. To open your credit file you may need a PDF reader app which can be downloaded from your app store. The PDF app may provide the ability to open password protected PDF's. There are various apps available depending on mobile operating system. Please visit your app store to determine which app is best for you.
